Retro Rental — Classic Vehicle Rental Agreement (self-drive)

Scope: rental without driver of historic vehicles (cars and motorcycles). Static use on sets/at events is also available. In addition, for transport of the Vehicle to/from sets, photoshoots, productions (static or moving use without passengers), a technical transfer service with driver is available. The service with driver (NCC) is not included in this Contract.

In the event of any discrepancy between this English version and the Italian original, the Italian text prevails.

1. Definitions

Customer (Renter): the individual or legal entity that books and/or uses the Vehicle.
Authorised Driver: the Customer and any additional drivers named in the Handover Report, holding a valid licence.
Vehicle: the classic vehicle (car or motorcycle) identified in the Order/Handover Report.
Depot: Retro Rental pick-up location.
Home/On-site delivery: delivery/collection of the Vehicle at the Customer’s address.
Handover Report (“Verbale”): form signed at pick-up/return with photos, odometer, fuel level, pre-existing marks and accessories.

2. Customer requirements

  • Minimum age 25 and minimum 3 years’ driving experience (foreign licences/IDP: accepted if valid in Italy).
  • ID document and a credit card in the main driver’s name are mandatory at pick-up.
  • Additional driver: allowed at no extra cost, subject to document checks prior to pick-up.

3. Booking & payments

·       Online booking (retrorental.it): full rental payment at checkout.

  • Accepted methods: American Express, Apple Pay, Google Pay, Maestro, Mastercard, PayPal, UnionPay, Visa, Shop Pay, Klarna.
  • Invoicing: fiscal document issued pursuant to applicable law.

4. Technical transfers with driver (without passengers) 

  • Availability: upon request, Retro Rental can move the Vehicle with its own driver for sets, photoshoots, productions (static or moving use without passengers on roads open to traffic, if permitted).
  • Scope: the service covers return transfers to the filming/set-up location and movement on set; it does not include the transport of passengers.
  • Deposit: not required for this mode (see Art. 4 — Exception).
  • Remaining conditions: the limits of use, liability and insurance coverage provided for in this Contract remain applicable; any production permits/authorisations remain the responsibility of the Customer.

5. Security deposit (pre-authorisation)

  • Amount: € 3,000.
  • Method: pre-authorisation on the card at pick-up (hold, not a charge).
  • Release: if no extra charges/damages arise, the hold is released 7 days after pick-up; actual unblocking depends on the card issuer.
  • Capture against deposit: Retro Rental may capture in full or in part to cover: Vehicle damage, extra km/hours, missing fuel, fines/tolls/Restricted Zones (ZTL) plus € 20 admin fee per case, and any other amounts due under this Agreement.
  • Exception — technical transfer with driver (without passengers): when the Vehicle is moved by a Retro Rental driver for set/photoshoot/productions (static use or moving shots without passengers), no deposit is required; any extras and damages remain payable in accordance with this Agreement.

6. Place of pick-up/return

At checkout the Customer may choose (i) pick-up at a Depot or (ii) home/on-site delivery.

  • Depot pick-up: the depot address is shown without street number; the exact meeting point is shared the day before the rental.
  • Home/on-site delivery: the Vehicle is delivered/collected at the Customer’s stated address.
  • Same-place rule: the return location must be the same as the pick-up location.

7. Duration, times & delays

  • Unit: rental by the hour.
  • Grace period: 30 minutes; thereafter € 100/hour (minimum one hour).
  • Actual times and duration appear in the Order/Handover Report.

8. Mileage & fuel (on-road use)

  • On-road use: permitted. 50 km/day included; excess € 0.70/km.
  • Static use (sets/displays): no mileage included; on-road driving is not included unless agreed in writing.
  • Fuel: like-for-like (full-to-full) when on-road use applies. If the Vehicle returns below the initial level, only the fuel cost is charged (no penalty).

9. Permitted use & limits

  • Prohibited: off-road/unpaved use, racing/drifting, towing, fording, smoking in the vehicle, transporting dangerous goods, overloading, tampering.
  • Night use: permitted.
  • Recommended max speed: 80 km/h; motorways prohibited unless expressly authorised in writing case by case.
  • Weather: in heavy rain or conditions unsuitable for a classic vehicle, Retro Rental may suspend/cancel the outing; the Customer will receive a refund of the unused rental (see Art. 13).
  • Restricted Zones/Tolls (ZTL/pedaggi): allowed at the Customer’s risk and expense.

10. Photo-documented handover/return (evidence)

  • Check-out and check-in with digital photos (360° exteriors, corners, interiors, dashboard with odometer/warning lights, fuel level, details) plus signed Handover Report.
  • If the Customer refuses photos or signature, Retro Rental may withhold up to € 3,000 as a precaution until technical inspection is completed.

11. Damage, liability & assessment

  • No comprehensive (Kasko) cover: the Customer is liable for own-damage to the Vehicle up to € 3,000 (without prejudice to liability for wilful misconduct/gross negligence or breaches of Art. 8).
  • Tyres/wheels: included in Customer liability.
  • Extra cleaning/smoke odour: € 30.
  • Lost keys/documents: € 100 (flat).
  • Assessment: estimate/quote by a classic-vehicle specialist workshop within 7 days.

12. Breakdowns, accidents & assistance

  • 24/7 assistance: [insurance/assistance number].
  • Breakdown not attributable to the Customer: if available, a replacement vehicle will be provided; if not, a pro-rata refund of the unused rental will be issued.
  • Accidents: mandatory photos, CAI form (Italian accident statement) if applicable, and immediate contact with Retro Rental; do not abandon the Vehicle without authorisation.

13. Fines, tolls, ZTL

All violations committed during the rental are borne by the Customer. For each administrative case Retro Rental applies an admin fee of € 20 in addition to the fine/toll amount.

14. Cancellations, no-show & force majeure

  • Up to 2 days before pick-up: 100% refund of the rental fee.
  • No-show or cancellation < 48 hours: 100% penalty, except proven force majeure.
  • Adverse weather (ceremonies/sets): 100% refund of the unused rental.

15. Insurance

Vehicles are covered by third-party liability insurance (RCA) with “self-drive rental” use. No comprehensive/Kasko cover is included. Policy limits and conditions available on request. The Customer agrees to comply with policy requirements (age, licence, usage limits).

16. Privacy & GPS

  • Photos/Handover Reports are processed to protect receivables and manage claims. Data are retained until the claim/case is closed (subject to statutory terms).
  • GPS: the Vehicle may be fitted with a GPS tracker used solely for security/anti-theft and incident reconstruction; details in the Privacy Policy.

17. Governing law & venue

  • Italian law applies.
  • B2C: venue is the consumer’s court.
  • B2B: exclusive venue Milan.

18. Acceptance

Ticking “I accept the Rental Terms” at checkout and signing the Handover Report constitute full acceptance of this Agreement.
